Refund Policy
This Refund Policy explains how cancellations, rescheduling, and refunds are handled for all personal training services provided by Trained By Dalton LLC. By booking any session, package, or program, you agree to the terms outlined below.
1. Cancellation & Rescheduling Policy
To respect both your time and the trainer’s time, all sessions require a minimum of 24 hours’ notice for cancellation or rescheduling.

Cancellations made with 24+ hours notice:
You may reschedule the session with no penalty. -
Cancellations made with less than 24 hours notice:
The session is charged in full and cannot be refunded, credited, or rescheduled. -
No-shows:
A missed session without notice is treated the same as a late cancellation — the session is forfeited and non-refundable.
These policies apply to all training types, including virtual, in-person, mobile training, and group sessions.
2. Refunds for Single Sessions
Single sessions are non-refundable once purchased, except in the case of an emergency or trainer-approved exception. Rescheduling still requires 24 hours’ notice.
3. Refunds for Training Packages
Training packages offer discounted pricing; therefore refunds are handled differently:

If sessions have already been used:
Refunds are calculated based on the full, non-discounted single-session rate, not the discounted package rate. -
If the client chooses to stop training before completing the package:
You may request a partial refund for unused sessions only.
Your refund will reflect:Total amount paid
– (Number of sessions completed × full single-session rate)
– 10% administrative feeThe remaining balance (if any) will be refunded.

If no sessions have been used:
A full refund may be issued minus a 10% administrative fee.
This keeps the policy fair, protects discounted packages from misuse, and honors the trainer’s time.
4. Expiration of Sessions

All training packages must be used within 90 days of purchase unless otherwise specified.

Unused sessions after the expiration date are non-refundable and non-transferable.

5. Trainer Cancellations
If the trainer must cancel for any reason:

You will receive as much notice as possible, and
-
The session will be rescheduled at no cost to you.
In rare cases where a session cannot be rescheduled, the session will be fully refunded.
6. Medical Pause Policy
If you experience a medical issue preventing continued training:

You may temporarily pause your package for up to 6 weeks,

Or request a partial refund for unused sessions (calculated using the formula above).
A doctor’s note may be required for verification.
7. Non-Transferability
Sessions and packages cannot be transferred to another person unless pre-approved by Trained By Dalton LLC.
8. Commitment to Fairness
This policy exists to protect both the client and the trainer. Trained By Dalton LLC strives to maintain professionalism, fairness, and transparency while delivering premium fitness coaching services.
